Overview
The City of Kitchener is seeking a detail-oriented and collaborative HRMS Specialist to support the implementation and ongoing operations of SAP SuccessFactors and PeopleSoft Payroll systems. This role is critical in ensuring the smooth functioning of HR and payroll processes through system maintenance, user support, and data integrity management.
(Temporary Full Time for Approximately 18 Months)
Responsibilities
- Provide day-to-day operational support for:
- SAP SuccessFactors Employee Central (EC)
- SAP SuccessFactors Employee Central Time (ECT)
- SAP SuccessFactors Recruiting (RCM/RMK) and Onboarding (ONB) modules
- SAP SuccessFactors Learning module
- SAP SuccessFactors and PeopleSoft Payroll integration
- Prepare SuccessFactors Table Reports, Story Reports and Dashboards.
- Ensure accurate data integration and flow between SuccessFactors and PeopleSoft platforms.
- Support HR and payroll operations by aligning system functionality with business processes.
- Collaborate with HR, IT, and system administrators to troubleshoot issues and optimize workflows.
- Develop, update, and maintain detailed technical documentation, including configuration workbooks, test scripts, and training materials.
- Respond to and resolve user inquiries related to system functionality and access.
- Ensure timely communication with user groups and technical team members and escalate issues when appropriate to ensure resolution and continuity of service.
- Deliver training and knowledge transfer to key HR and Business stakeholders as needed.
- Evaluate, and recommend enhancements and innovative features within existing HR systems, particularly SAP SuccessFactors—to optimize system functionality, enhance business processes, and address operational gaps.
- Performs other related duties as assigned.
Education
- 3-year degree or diploma in a related field.
Experience
- Minimum 2 years’ relevant experience, including experience in system migration and transformation.
Skill Equivalency (if applicable)
Applicants will be considered if a combination of their education and experience meets the following pre-determined skill equivalency:
- 2-Year Diploma (or 2 Year Specialized Post-Secondary Program) with minimum 4 years related and relevant experience OR
- 4-Year Honours Degree with minimum 1 year related and relevant experience.
Knowledge, Skills, and Abilities
- Proficient in SAP SuccessFactors, with hands-on experience in core modules including Employee Central (EC), Employee Central Time (ECT), Recruiting (RCM/RMK), and Onboarding (ONB).
- Strong knowledge of Role Base Permissions (RBP) and Cloud Security within SuccessFactors.
- Experience with SuccessFactors Table Reports, Story Reports and Dashboards.
- Skilled in configuring business rules, workflows, picklists, and business processes.
- Experience with Employee Central Payroll (ECP) is an asset.
- Familiarity with XML configuration and the Business Rules Engine is an asset.
- Working knowledge of Peoplesoft, SQL/PLSQL, People Tools, Application Engine, People Code, and Component Interfaces is an asset.
- Proficient in business analysis techniques, including facilitating requirement gathering sessions, mapping data and business processes, and documenting findings.
- Ability to translate business needs into functional specifications and system requirements.
- Experienced in developing test scripts, conducting User Acceptance Testing (UAT), regression testing, and ensuring system validation.
- Capable of performing mass data uploads using Import tools, Data Validator, and Employee Central import templates.
- Working knowledge JIRA.
- Promotes open communication with process stakeholders and design teams.
- Demonstrates discretion when dealing with confidential data and a mastery of employee data privacy best practices.
- Proficiency with MS Office products, including Excel.
- Provides high quality user support with timely response to requests.
- Reliable with a good attitude and employment record.
